AI ground rules for care staff.

Your staff are almost certainly using AI already, on their own phones, with good intentions. That isn't a discipline problem, it's a missing-rules problem. Resident information is special category personal data under UK GDPR, and many free AI tools keep whatever gets typed into them.

So here it is, in the red/amber/green format your team already knows from food hygiene and safeguarding:

• Green. Notices, job adverts, blank rotas, summarising public guidance. Crack on.
• Amber. Anything about a real person even with the name removed, care plans, letters to families. Ask first.
• Red. Names, NHS numbers, medication, MAR charts, photos, clinical decisions. Never, on any tool.

There are blank lines on the sheet for your approved tools, who to ask, and a review date, so it becomes your document rather than mine. Print it, adapt it, put your own logo on it if you like. No attribution needed.
